This is a short, plain-English agreement presented to countersigners at the point of signing on the driver's device. It is preceded by the OTP email which contains a link to this full document. The checkbox wording shown in Section 3 is what the countersigner must actively tick before signing.
1. What You Are Being Asked to Sign
You have been asked by a driver to confirm the condition of a vehicle that is being collected from or delivered to you. Signover is the technology platform the driver is using to record this.
You are signing as a non-registered third party to this handover event. You do not need a Signover account to sign, and no Signover user account is created for you by completing this process.
Before you sign, please read this short document. It explains:
- What you are agreeing to
- What happens to your signature and personal data
- Your rights
2. What the Record Contains
The driver has recorded the condition of the vehicle using the Signover app. This includes:
- Photographs of the vehicle taken at this stage of the journey
- Any damage or defects the driver has noted
- The date, time, and location of this inspection
By signing, you confirm that you have had the opportunity to review this record and that it accurately reflects the condition of the vehicle at the time of this inspection.
Once you sign, this record is permanently locked. No one — including the driver, the transport company, or Signover — can change it.
3. The Agreement Checkbox
Before signing, you will be asked to tick the following checkbox:
Ticking this box and signing below means you have read and agreed to this document, and that you confirm the vehicle condition shown is accurate.
4. What Happens to Your Personal Data
When the driver enters your email address, Signover sends you a one-time password (OTP) by email. Entering the OTP is used as a one-time identity and access confirmation for the person present at this handover stage, and to verify that you received and had access to the terms before signing.
We store the following information as part of this vehicle condition record:
- Your name (if provided)
- Your email address
- A log confirming the OTP was sent and used
- IP address and user-agent at OTP verification/signature
- The time you ticked the agreement checkbox
- Your digital signature
- The version and document hash of the terms in force at the time of signing
This data is stored securely by Signover on behalf of the transport company that created this job. It forms part of the vehicle condition record and may be used as evidence in any dispute about the condition of the vehicle.
Your data will be held for the duration of the transport company's subscription with Signover plus up to 6 months thereafter, at which point it will be permanently deleted.
Your Rights
You have rights under UK data protection law, including the right to access your data and, in some circumstances, to request its deletion. However, as your data forms part of a vehicle condition record that may be required as evidence in a legal dispute, we may be unable to delete it until the end of the retention period described above.

5. Signover's Role
Signover is the technology platform the driver is using to record this inspection. Signover is not a party to the transport agreement between you and the transport company. Any questions or disputes about the vehicle, its condition, or the transport service should be directed to the transport company, not to Signover.

If you have any questions about this document or about the vehicle condition record, please contact the driver or the transport company before signing. Once you have signed, the record is locked and cannot be changed.
